Meetings are essential to a successful strata scheme, and are the vehicle where decisions are made. Below is a table to help you understand the different types of meeting, their purpose, notice period and other important information.

Inaugural Meeting

To ‘set up’ the scheme after registration of the strata plan

Usually only the original owner holds lots

This meeting is held during the initial period to agree on matters like insurance and how expenses will be met during the initial period

First Annual General Meeting

This is a ‘set agenda’ meeting prescribed by the Act to set up the owners corporation.

Must be held within 3 months of the initial period ending, which is one 1/3 of the total units of entitlement have settled

Annual General Meeting

To consider and resolve mandatory matters including budget, financial approval, and electing a strata committee

The Act does determine motions that must be considered, however any owner may request additional motions to be considered.

Extraordinary General Meeting

To consider and resolve matters that can only be considered by owners at a general meeting, held as required.

This meeting is held to discuss urgent or specific matters that require prompt attention and cannot wait until the next AGM. EGMs may be initiated by the owners’ corporation or by owners who submit a qualified request, requiring owners whose units of entitlement value equal 25% or more of the total.

Strata Committee Meeting

To consider decision in relation to the day-to-dat management of the scheme.

For ‘small’ schemes
72 hours, notice on the noticeboard. If there is no noticeboard,
72 hours plus 7 business days for postage.

For ‘large’ schemes

72 hours plus 7 business days for postage.

 

No for small schemes (unless there is no notice board maintained.

Yes for large scheme

Any owner is entitled to attend this meeting, but can only speak if the committee provide them permission to.
